Administration Specialist (f/m/d) to Head of German Tax, Group Tax Reporting and M&A Tax

What you’ll build
The Global Tax Department as part of the GFA Board Area is responsible for a broad area of tax topics of our group companies worldwide. Our responsibility covers both SAP companies and newly acquired companies and includes amongst others the preparation of tax returns, support of tax audits, the implementation of group restructurings and quarterly tax calculations. Furthermore, we are responsible for the evaluation of tax strategies and tax planning and support various external tax committees in Germany and abroad (e.g. BOI, Bitkom).
We are looking for an individual with strong organizational skills and business acumen to provide support to the organization of the Head of Global Tax and teams in routine tax compliance tasks and in administrative tasks. You will work in a small team with one other colleague supporting the managers in the location Walldorf.
EXPECTATIONS AND TASKS
Main tasks include:
- Provide administrative assistance (running the office of the Head of Global Tax together with a colleague):
- Calendar Management: Organize and manage the manager's schedule, including meetings, appointments, and travel arrangements.
- Documentation: Prepare and proofread documents, reports, and presentations. Assist with the creation and maintenance of tax-related documents.
- Communication: Act as a point of contact between the Head of Global Tax and other team members, clients, and external stakeholders. Handle email and phone correspondence efficiently.
- Data Management: Maintain and organize files, databases, and records. Ensure data accuracy and security.
- Meeting Coordination: Arrange and coordinate internal and external meetings. Prepare meeting agendas and take minutes as required.
- Expense Management: Perform and monitor purchase activities including PO administration (e.g. office material, business cards, third party services).
- Project Support: Provide support on various tax-related projects, including research and data collection.
- Travel Arrangements: Make travel arrangements for the managers and ensure travel itineraries are well-organized.
- General Office Support: Perform general administrative tasks such as ordering office supplies, managing incoming and outgoing mail, and maintaining a tidy office environment.
- Perform routine tax compliance duties, there is no need to have previous experience in tax, of course we will train you in these topics!
- Support in routine tax compliance tasks such as the preparation of tax filings (such as withholding tax filings), tax declarations or tax certificates (all under the supervision of a Tax Specialist).
- Manage workflows and monitor items like distribution list, IT/C-user administration, status of tax compliance tasks, tax return or payment due dates and tax relevant databases. Support the administration of the quarterly IFRS tax calculation and reporting.
- Take over standard correspondence with customers and suppliers via withholding tax inbox.
- Administration of document shipment in- and out-box.
What you bring

- Excellent in communicating both verbally and in writing (German and English).
- Proficiency in computer programs such as MS office applications as well as SAP-tools.
- Handling sensitive and confidential information properly.
- Bachelor's degree in business administration or equivalent vocational training; ideally prior experience in administering a tax function or prior experience in a tax accounting support role.
WORK EXPERIENCE
At least 2 years administration specialist or work experience in a tax accounting support role. The position can be filled as part time position.
