As a Business Assistant within our Investment Bank team, you will provide high-level support to senior leaders, ensuring seamless operations and effective stakeholder engagement. You will manage complex schedules, coordinate travel and expenses, and facilitate key business processes. Your advanced assistant skillset, resourcefulness, and strong business focus will be essential to success in this role.

Job responsibilities

  • Manage proactively advanced diary scheduling for meetings, calls, and events, including internal/external meetings, conference calls; support orchestration of Off-Sites/Town Halls/Skip-Levels
  • Partner with relevant groups to execute travel and entertainment booking and partner with relevant groups to enable expense processing
  • Coordinate department scheduling & transactional activity including internal and external client interactions
  • Escalate and enforce all CIB/Firmwide T&E policies with their team including receipt requirements and timely handover of required information
  • Communicate with wider support groups and partner with Business Management and other key business stakeholders cross LoB
  • Utilize internal systems, complete accurate data entry, produce reporting and collate information as required
  • Oversee distribution lists, technology usage and other administrational housekeeping
  • Become integral part of business, understand changeable group priorities and business expectation
  • Partner with assistants cross LoB to provide coverage as required
  • Get involvement in additional activities, projects

Required qualifications, capabilities, and skills

  • Fluent in German and English
  • Professional client handling and relationship-building skills
  • Full competency in diary management and prioritization
  • Strong executive communication skills, both written and verbal
  • Proven experience arranging travel and producing accurate itineraries, plan B & C, ability to navigate systems well and apply good judgment on how to optimise travellers time and business costs
  • Demonstrated proactivity and ownership in role; strong team player and solution orientated; positive, common-sense attitude and efficient time management
  • High-level technical capabilities
  • Strong awareness of expense systems and cost control initiatives; high level of attention to detail and delivers high quality results
  • Polished, professional approach, calm and composed manner, ability to work in a pressured environment and partner effectively across different hierarchies
  • Flexibility and openness to change; understanding of the culture of an Investment Bank and ability to quickly grasp the political landscape and key people within the organisation
