About this role

A leading Japanese company in the sealing industry is looking for a People, Organization & Business Operations Manager (m/f/d) near Munich.

Job Responsibilities

We are looking for a hands-on People & Organization Manager to strengthen the organizational foundation required for sustainable sales expansion and the 2030 organization plan. This is not a purely administrative HR role. The position will build, standardize, and embed practical people, HR, general affairs, and organization processes so that new hires can be accepted, trained, retained, and productive. The role will work on recruitment, onboarding, training, internal rules, manager routines, authority and responsibility clarity, and selected process improvement topics. Sales hiring will continue in parallel, and this position will help ensure that growth is supported by scalable organizational operations.

1. Recruitment & Workforce Planning

  • Support hiring plans, role requirements, job descriptions, recruitment agency coordination, candidate pipeline management, interview process coordination, and entry procedures.
  • Help define hiring requirements with managers so that recruitment is linked to business priorities and future organization needs.

2. Onboarding & Training

  • Design, implement, and continuously improve a structured 90-day onboarding process for new hires, especially sales hires.
  • Develop practical training routines covering products, customers, internal processes, and coordination with Japanese headquarters.

3. HR Operations, Labor Administration & Internal Rules

  • Develop, document, maintain, and communicate internal rules and operating guidelines for vacation, business trips, home office, welfare-related matters, and office operations.
  • Establish clear criteria for exception handling and conduct regular reviews and updates of key rules and processes.
  • Act as the practical contact point for day-to-day people and organization operation matters within the agreed scope.

4. Organization Operations & Manager Support

  • Standardize organization routines such as meeting structures, 1-on-1 practices, goal setting, evaluation support, and manager development support.
  • Help managers build repeatable routines for developing people and managing performance.
  • Reduce dependency on the Managing Director by shifting recurring people and organization topics into transparent processes.

5. Process Improvement, Governance & Tools

  • Drive organization and business process improvement, including authority matrix / RACI clarification, decision flows, and internal documentation.
  • Support ERP review or improvement projects where they are relevant to organization operations, workflow clarity, and process efficiency.
  • Embed rules and processes into daily operations after the initial build phase and continuously improve them based on practical feedback.

Job Requirements

Must-have

  • Experience as an HR Generalist, HRBP, People Operations Manager, or comparable hands-on HR / organization operations role.
  • Practical experience in recruitment, onboarding, labor / HR administration, and internal rule development.
  • Understanding of employment practices in Germany.
  • Ability to work professionally in English with European and Japan-based stakeholders.
  • Ability to translate ambiguous organizational issues into clear, practical processes and documentation.
  • Hands-on ownership mindset suitable for a small organization where the role both designs and operates processes.

Nice-to-have

  • Experience in overseas subsidiaries, or growth-stage organizations.
  • Experience coordinating with non-European headquarters or Japan-based stakeholders.
  • Business-level German proficiency.
  • Experience in organization development, manager support, process improvement, ERP review, or authority matrix / RACI design.
  • Experience participating in ERP implementation, migration, or process redesign projects.
  • Experience in business process improvement, Lean administration, or operational excellence.
  • Experience building organizational processes in a small or fast-growing company environment.
