What you'll build
Join our team as a Personal Assistant to a senior executive in the dynamic field of AI. In this role, you will be at the center of fast-paced decision-making, ensuring seamless operations and efficient coordination across internal and external stakeholders. Please note that this position is initially limited to a duration of six months.
Executive Support & Communication
- Provide comprehensive operational and administrative support to executive leadership
- Serve as primary liaison between internal teams and external stakeholders, fostering positive relationships and ensuring seamless communication
- Calendar & Meeting Management: Manage complex scheduling across multiple time zones, coordinating availability and preparing meeting materials including pre-reads
- Organize customer-facing meetings in collaboration with external Executive Assistants
- Facilitate meeting preparation sessions
Event Coordination & Travel
- Plan and execute internal and external workshops, meetings, and other events
- Research and secure appropriate venues and logistics
- Coordinate comprehensive travel arrangements and process related expense reports
Administrative & Process Management
- Generate purchase orders and manage procurement workflows
- Oversee absence management and administrative processes
- Collaborate with cross-functional teams to build efficient operational networks
What you bring
Required Qualifications:
- Experience: 4+ years of professional administrative or executive support experience
- Language Skills: Fluent English and in best case German
- Technical Proficiency: Advanced Microsoft Office Suite skills; experience with Concur (travel/expense management) and first experiences with Joule / Microsoft Copilot / and/or any other AI productivity solution
- Location/Cultural Fit: Experience supporting executives strongly preferred
